The Portfolio Dossier
One vendor. Every community. A single standard, upheld — and the operational, contractual, and reporting apparatus that lets a regional operator sleep easy while it happens.
Grooming is procurement's forgotten line item — handled by whichever local barber is available, invoiced inconsistently by community, and reported on not at all. For a portfolio operator, that fragmentation is a small but persistent drag on family satisfaction, life-enrichment scores, and the coherence of the resident experience you have worked to build.
A portfolio-wide partnership with The Prestigious Cut® consolidates that spend into a single contract, a single relationship, and a single reporting cadence — and turns a scattered service into a measurable differentiator. This dossier is our written case for that partnership.
How we sit within a multi-site operator.
We operate as a service line, not a franchise. A single master service agreement governs the portfolio; community-level addenda handle local variance — cadence, room, resident acuity mix. Your regional VPs deal with one person at our office. Your community EDs deal with one person on our team, on their grounds.
| Layer | Your Contact |
|---|---|
| Corporate / Regional | A named Portfolio Director — senior, dedicated to your account, versed in your operating model and reporting calendar. |
| Community | A Program Lead per community, introduced to the ED and Life Enrichment lead on day one. Backup coverage arranged before the first appointment. |
| Compliance | A Compliance Officer at our office holds every certificate, licence, and screening record on file; a shared secure folder is refreshed automatically at each renewal. |
| Family | A family services line for questions, requests, and quiet reassurance. We answer every family note personally, within one business day. |
Twelve identical touchpoints at every community.
Consistency across a portfolio is not a slogan; it is a training programme, a documentation habit, and a set of standing rituals that the same field barber performs in the same order at every appointment, in every community, every time.
- Confirmation the day before, on the resident's preferred channel.
- A quiet arrival — nav announced to the front desk, not the resident.
- The program lead's own hand offered, first name given.
- Cape and neck strip laid out; the resident's own mirror consulted.
- A conversation opened, on a topic the resident has raised before.
- The cut, executed as documented in the preference note.
- A hot-lather straight-razor edge, or a beard trim, as preferred.
- Ears, brows, and nape addressed without ceremony.
- A light dressing of pomade or leave-in, if the resident wishes.
- A final inspection in the mirror — the resident's approval, not ours.
- The room returned to the state we found it. Linens away, tools sanitised.
- A written note in the resident's file, and a family note on file if requested.
“Every appointment produces a two-line internal record. Over a year, that record is what makes portfolio-level reporting real, not anecdotal.”
One report. One meeting. Every community.
Once per quarter, your regional VP receives a single document covering every partner community in the portfolio. It is designed to be read in ten minutes before your next operations review.
Participation
Standing-appointment count and monthly retention rate, community by community, with any variance flagged and explained in one sentence.
Engagement
Male resident participation in community programming, tracked as a rolling twelve-month average against a portfolio baseline.
Family Sentiment
Verbatim family comments — positive and constructive — collected through our family services line and shared without editorialising.
Program-Lead Retention
The tenure of the program lead in each community. Turnover in this role is the single largest predictor of resident satisfaction; we measure it closely and share it plainly.
Compliance Health
Licence and insurance renewal calendar, background screening cadence, and any incident logged in the quarter with resolution notes.
Community Notes
Two or three lines per site — a birthday, an anniversary, a moment worth remembering. The texture the numbers cannot carry.
A rollout designed for regional operations calendars.
- Weeks one and two — corporate briefing, master service agreement structured, insurance and compliance documentation exchanged.
- Weeks three and four — pilot community selected in consultation with your regional VP. Program lead recruited or assigned; credentialing verified; a soft launch scheduled.
- Month two — pilot community operational. First month's report prepared. Any adjustments to the community addendum captured.
- Months three through six — phased expansion at a cadence of one to two communities per month, sequenced to your operations calendar and Life Enrichment leadership availability.
- Month twelve — full portfolio operational; first annual review delivered to the regional VP and CEO.
The pace above is a default, not a demand. Portfolios with unusual seasonality or ongoing acquisitions have adjusted this to fit; we adjust with you.
Priced simply. Invoiced once.
We invoice the portfolio operator directly, on a single monthly statement covering every community, at a per-resident-per-appointment rate agreed at the master service agreement stage. Community-level cost centres are supported. Direct resident billing, when a community prefers it, is also supported.
| Element | Treatment |
|---|---|
| Rate Structure | Per-resident-per-appointment, tiered by service (cut, cut & shave, extended memory-care visit). Locked for the initial term. |
| Term | Three-year initial term is customary, with a mutual thirty-day exit for cause and a ninety-day termination for convenience. |
| Volume Consideration | Portfolios of six or more communities receive a portfolio consideration on rate, discussed at the corporate briefing. |
| Invoicing | Monthly, in arrears, on a single statement. Net thirty. Cost-centre breakdown by community available on request. |
A ninety-minute conversation, on your grounds.
A corporate briefing is the right next step. We ask for ninety minutes with your regional VP of Operations, your Life Enrichment lead, and your procurement contact — on one of your community grounds, so we can walk it together at the end.
- The Portfolio Dossier is with you now, in advance.
- A phased-rollout proposal follows the briefing within ten business days.
- The master service agreement structure is walked through in the room.
- References from current portfolio partners are furnished on request.
“We work with a small number of portfolios each year. A quiet conversation on your grounds is the right place to start.”
