This dossier is refreshed each January and after every regulatory or insurance change. If you receive it as part of a partnership conversation, the version you are reading is the version in force. For families and general readers, an abbreviated summary of these commitments appears on our website.
Every field barber holds a current state licence.
No exceptions, no student practitioners, no lapsed credentials. We maintain a central register of every field barber's licence number, issuing state, and renewal date. A copy of the current register is available to any partner community on request, and is updated on the first business day of each month.

Multi-state screening. Continuing training. No one steps onto your grounds unchecked.
Every field barber, program lead, and office staff member is screened at hire and re-screened annually. The screening is conducted by a nationally accredited consumer reporting agency in full compliance with the Fair Credit Reporting Act.
- Identity verification — Social Security trace, current-and-former-address history for a minimum of ten years.
- Criminal background — multi-state and multi-county felony and misdemeanour search across every jurisdiction of residence within the past ten years, plus federal criminal record search.
- Sex offender registry — checked against the National Sex Offender Public Website and all fifty state registries.
- Elder abuse registry — checked against every state elder abuse and vulnerable adult registry where such a registry exists.
- Motor vehicle record — reviewed for any practitioner who will drive between community sites on our behalf.
- Sanctions — OIG LEIE and GSA SAM exclusion lists, checked at hire and monthly thereafter.
Continuing dementia-care training
Every program lead completes a minimum of eight hours of dementia-care continuing education each calendar year, delivered through our internal curriculum in partnership with a licensed geriatric occupational therapist. A certificate of completion is filed for each practitioner and made available to the partner community on request.
Confidentiality practices aligned to your community's own protected-information policies.
We are not a covered entity under HIPAA, and our services are not medical. That said, we work inside communities where protected health information is present, and where the ordinary rhythms of a grooming appointment can produce incidental disclosure. Our practices are designed to make that disclosure impossible — and to give your compliance team a document trail they can audit.
Business Associate Agreement
Where a partner community requests one, we execute the community's own BAA without revision, or provide our template for review. On file with counsel.
Annual Training
Every field barber and office staff member completes annual HIPAA-awareness training, with certificate on file. Refresher upon any role change.
Minimum Necessary Rule
We do not request, receive, or store diagnostic or medical information about any resident. Preference notes are limited to grooming detail — parting, length, sensitivities, favourite conversation topics.
Incident Response
Any inadvertent disclosure is reported to the community's privacy officer within twenty-four hours, with a written summary and corrective action.

Between-resident sanitation, single-use linens, and a documented illness policy.
Infection control is the most-audited element of a grooming program in senior living — and rightly so. Our protocol is written to satisfy state board of barbering requirements, CDC guidance for congregate settings, and the internal policies of the communities where we operate. It is reviewed annually with a licensed infection preventionist.
- Hospital-grade disinfection of every non-porous tool between residents, following a full ten-minute immersion in EPA-registered List N solution.
- Single-use linens for every appointment — neck strip, cape liner, and hot towel — discarded or bagged for laundering on the spot, never re-used across residents.
- Sealed sharps disposal for straight razor blades and any incidental sharp instrument, with disposal certified to the community's medical-waste vendor.
- Hand hygiene at entry, between residents, and at departure. Alcohol-based sanitiser and access to soap-and-water washing, always.
- PPE availability matched to the community's current posture — masks, gloves, gowns — and worn on request of any resident, family member, or staff lead.
- Documented illness policy: any field barber presenting with respiratory, gastrointestinal, or fever symptoms is stood down until symptom-free for forty-eight hours, with cover arranged for the affected appointment.
- Outbreak posture: during a community outbreak of any reportable illness, we defer to the community's medical director and adjust our presence, PPE, and route accordingly — without additional charge.
Everything above is verifiable, in one place, on one afternoon.
Upon partnership execution, your compliance lead receives a shared secure folder containing every current certificate, licence, insurance binder, screening summary, and training record referenced in this dossier. The folder is updated automatically on renewal. There is no separate audit request; the file is standing.
If your community is subject to a state or federal survey and requires a same-day document pull, our compliance office is on call and will assemble any subset of the record for you within two hours during business hours.
